ROI GIANNOPOULOU ARCHITECTS E.E. treats the protection of your personal data as a matter of substance rather than formal compliance. We comply with the applicable personal data protection legislation (Greek law 4624/2019) and with the General Data Protection Regulation – GDPR, Regulation (EU) 2016/679.

This Policy explains which data is collected through this website and in the course of working with us, why it is collected, how long it is kept and what rights you have.

Browsing this website

You can browse this website and view all of our projects without providing any personal information. Personal data is collected only when you choose to contact us or to use the website’s digital assistant.

If you disagree with this Policy, please do not use the contact form or the digital assistant.

Contact form

When you complete the contact form we collect your name, your email address and the text of your message (and your telephone number, if you provide it). This information is used solely to respond to your enquiry.

The legal basis is our legitimate interest in responding to enquiries addressed to us (art. 6(1)(f) GDPR) and, where your message concerns a possible commission, the taking of steps prior to entering into a contract (art. 6(1)(b) GDPR).

We do not use this information for marketing purposes and we do not transfer it to third parties.

Project enquiries and professional engagements

If your enquiry leads to a project, the information you provide in that context – for example the address of the property, drawings, plans, technical documents and the details of other professionals involved – is processed for the purpose of carrying out the architectural study and the construction supervision, on the basis of the performance of our contract (art. 6(1)(b) GDPR) and of our legal obligations as engineers (art. 6(1)(c) GDPR).

Please note that we are not asked for, and do not need, special categories of data (art. 9 GDPR) in order to provide our services.

Digital assistant (AI chatbot)

This website provides an automated artificial-intelligence (AI) digital assistant which answers questions based solely on the published content of this website (pages and project entries). You are talking to an automated system, not a person – this is also stated inside the chat window itself.

The assistant provides information only. It does not give binding commercial, technical or legal commitments, it does not quote prices or fees, and it does not enter into agreements on our behalf. Each answer refers to the specific page it came from and invites you to contact the office for anything concerning your own project.

Please do not enter personal or identifying details into the chat (name, telephone, email, address of a property). The assistant does not ask for such information and does not need it in order to work.

What data it processes

Only the text of the messages you type and the technical data required to serve the request (for example your IP address at the moment of the request — this is not stored in the conversation history). The assistant uses no cookies and no other persistent storage on your device, does not build profiles and does not link the conversation to your identity.

Purpose and legal basis

The purpose is to inform you immediately about our office, our projects and the scope of our work. The legal basis is our legitimate interest (art. 6(1)(f) GDPR) in providing effective information; use of the assistant is optional and is activated only when you choose to send a message.

Where the data is held and for how long

The data is hosted on servers within the European Union (Hetzner Online GmbH, Germany). To generate the answers, the text of the message is processed within the EU by an AI language-model provider (Mistral AI, France) under a data-processing agreement (art. 28 GDPR); it is not used to train models and is retained by that provider only for a short period (up to approximately 30 days) solely for the prevention of abuse. Conversations are deleted automatically from the server within 7 days. Any limited transfers outside the EEA are covered by the EU Standard Contractual Clauses (art. 46 GDPR).

Automated processing

The assistant generates answers automatically, but it does not take decisions producing legal effects or similarly significant effects for you within the meaning of art. 22 GDPR.

Accuracy

The assistant answers from the published content of this website and may be incomplete or mistaken. For anything that matters to your project, please contact us directly.

IP addresses

When you visit, the IP address through which you connect is recorded for security purposes and for statistical analysis of traffic. The IP address is not used to identify you and is not linked to the content of your conversations with the digital assistant.

Recipients of the data

Your data is not sold and is not transferred to third parties for commercial purposes. Access is limited to:

  • ROI GIANNOPOULOU ARCHITECTS E.E. and its associates, to the extent necessary for the work;
  • the website hosting provider and the provider of the digital assistant, as processors, under an art. 28 GDPR agreement and only on our instructions;
  • our accountant, exclusively for tax documentation;
  • the competent authorities, where this is required by law.

Your rights

Under arts. 15–22 GDPR you have the right to:

  • access your data and obtain a copy of it;
  • have inaccurate or incomplete data corrected;
  • erasure (the “right to be forgotten”), where there is no legal obligation to retain the data;
  • restriction of processing;
  • portability of your data;
  • object to processing based on our legitimate interest;
  • withdraw your consent at any time, without affecting the lawfulness of processing carried out before the withdrawal.

To exercise your rights, contact us at info@roigiannopoulou.com or on +30 210 222 4312. We respond within one month.

Because conversations with the digital assistant are not linked to identifying information, we may be unable to locate a specific conversation (art. 11 GDPR); in addition, owing to deletion within 7 days, a later request may not be capable of being satisfied because the data no longer exists.

You also have the right to lodge a complaint with the Hellenic Data Protection Authority (www.dpa.gr, Kifissias 1-3, 115 23 Athens, tel. +30 210 6475600).

Minors

This website is not directed at minors and we do not knowingly collect data relating to minors through it. If it comes to our attention that a minor has submitted information without the consent of a parent or guardian, that information is deleted immediately.

Security of your data

We take appropriate technical and organisational measures to protect your data: an encrypted connection (HTTPS/SSL) on the website, restricted access to client files, and password protection of our electronic devices. The digital assistant operates on servers within the EU, with encrypted transport, access restricted to the processor, and automatic deletion of conversations after the period stated above.

No method of transmission or storage is absolutely secure; we undertake, however, to inform you and the Authority, where required, in the event of a breach presenting a risk to your rights.

This website may contain links to third-party websites – for example to articles about our projects published by other media, or to social media. These links are provided for your convenience and do not imply acceptance of their content.
